1. Information We Collect

When you submit a stay request or send an inquiry through Sarasota Homes, we collect your name, email address, phone number, stay dates, guest counts, and any messages or arrival notes you provide. When you book, we also collect the primary guest’s postal address and the billing name, email address, postal address, and optional company name used for the invoice. If you select that billing details are the same as the primary guest’s details, we use those details for billing too.

2. How We Use Your Information

We use this information strictly to manage your stay reservations, send booking confirmations and check-in details, reply to your inquiries, and fulfill regulatory lodging requirements in Sarasota, Florida.

3. Payment Security & Third-Party Processors

All online payment transactions are processed securely via Stripe. We do not store credit card numbers, CVVs, or payment credentials on our servers.

We provide your billing name, email address, postal address, and optional company name to Stripe to process your payment and issue your invoice. Your reservation contact details remain separate if the invoice is addressed to someone else.

4. Data Retention & Your Rights

You may request a copy of your personal data or request deletion of non-essential booking records by contacting us at info@sarasotacottage.com or via our Contact page.

5. Optional Website Analytics

If you choose Accept All, we use Google Analytics to understand website usage and the Meta Pixel to measure advertising effectiveness. With the same permission we also use Ahrefs Web Analytics to count page views, outbound link clicks and form submissions, and to see which websites bring visitors to us. It sets no cookies. It receives the page address (including campaign tags), the referring page, your browser and device type, screen size and language, and your approximate city and country, which Ahrefs derives from your IP address without storing the address itself. None of these tools starts before your explicit permission. With Meta we share these actions: viewing a cottage page, checking a price for selected dates, starting a booking, sending a contact message and completing a booking (booking value in USD, the cottage, number of nights; for price checks also the dates and number of guests). Meta may also receive these same events through its Conversions API service. If you accept, our server also forwards these events and page views to Meta together with your IP address, browser type and Meta's cookie identifiers (_fbp/_fbc). When you start a booking, we keep these identifiers with your booking for up to 30 days, so that a completed booking can be reported to Meta once payment is confirmed. We do not add your name, email address, phone number, messages or payment details to these events ourselves. Meta's automatic matching may, however, read contact details you type into forms on pages where the Meta Pixel runs (such as the contact form or the guest-details form) and send them to Meta in hashed form to match events to Meta accounts, and Meta may collect general page content to describe the pages you view. Campaign tags in the link that brought you here (such as utm_source, gclid or fbclid) are kept for attribution. These tools run on every page of this website, including the guest-details, booking-confirmation, thank-you and manage-booking pages; only the owner’s admin area is excluded. On the guest-details screen they record that you opened it and, when you continue to payment, the cottage and the booking value. We do not add the details you type on that screen to these events, and we remove private codes (such as booking-management links and payment session identifiers) from the page addresses we send. Select Essential Only to decline, or reopen your preferences below to change your choice.

1. Check-in & Check-out

Check-in starts at 5:00 PM for both cottages. Check-out is strictly by 11:00 AM to allow our cleaning team to prepare the home for arriving guests.

2. Occupancy & Quiet Hours

Maximum occupancy is 8 guests for Sunny Sarasota Cottage and 4 guests for Sarasota Resort Cottage. Resort-wide quiet hours are observed between 10:00 PM and 8:00 AM daily.

3. Pet Policy

Pets are welcome with prior registration and payment of the applicable pet fee. In accordance with Sun Outdoors resort regulations, pets must be kept on a leash in all common areas.

4. Property Care & Guest Responsibility

Guests agree to treat the home and resort amenities with care. Any significant damages or missing inventory during the stay may be billed to the primary registered guest.

Every stay at our cottages is a long, monthly booking, so we use a strict cancellation policy.

1. Free cancellation window

You receive a full refund (100% of the amount paid, including cleaning fee, pet fee and taxes) if your cancellation request is received within 48 hours of your booking confirmation and at least 28 days before check-in.

2. Cancellations after the free window, before check-in

The first 30 nights of the reservation are non-refundable. If the reservation is 30 nights or shorter, the entire stay is non-refundable. Nights beyond the first 30 are refunded in full. After the free cancellation window, the cleaning fee and pet fee are non-refundable. Taxes collected for nights that are not stayed are refunded.

3. Cancellations after check-in and early departures

Once your stay has started, no refund is given for unused nights, including if you leave early.

4. Date changes

A request to change dates is treated as a cancellation under this policy, unless we confirm the change in writing. Any new dates must be available and must meet the minimum-stay rule of 24 nights in each calendar month.

5. Mandatory evacuation

If Sarasota County or the State of Florida issues a mandatory evacuation order covering the property for any night of your stay, you may choose a refund for the affected nights you cannot stay, or new dates of equal length, subject to availability.

6. Cancellation by us

If we have to cancel your reservation, you receive a full refund of everything you paid.

7. How to cancel and how deadlines are measured

Submit your request with the "Send cancellation request" button on your booking management page, or contact us. The time we receive your request decides which rule applies. All deadlines use Sarasota local time (Eastern Time), and days before check-in are counted to 5:00 PM on your arrival date.

8. Refunds

Approved refunds are returned to the original payment method. Banks usually post them within 5 to 10 business days.

9. Travel insurance

Because this policy is strict, we recommend travel insurance that covers trip cancellation and interruption.
